JOB DESCRIPTION
Coordination & Control of work in the department:
Professional guidance and building of goods handling process.
Optimize workflows to improve efficiency and accuracy.
Document control:
Directly control and review the accuracy and validity of all import-export documents (Contract, Invoice, Packing list, C/O, Bill of Lading, D/O, booking, etc.) before issuance.
Ensure that the preparation and storage of documents strictly comply with the provisions of law, shipping lines and international payment terms (LC, T/T).
Responsible for the progress and accuracy of all documents and records for import and export shipments.
Problem & Transaction Handling:
Act as the main point of contact to resolve complex issues related to documents, customs, shipping lines, agents and customers.
Negotiate with partners (shipping lines, forwarders, customers) to resolve disputes, complaints or optimize costs.
Proactively detect risks in the document process and propose preventive solutions.
Reporting & External Relations:
Prepare regular and ad hoc reports on document status, shipment progress and arising issues to the Board of Directors.
Closely coordinate with relevant departments (Sales, Accounting, Field) to ensure smooth import and export operations.
Update and disseminate new import and export regulations and policies to the entire team.
JOB REQUIREMENTS
Education & Experience:
College/University graduate or higher in Import-Export, Economics, Foreign Trade.
Have at least 4-5 years of experience working in the field of import-export documents, logistics, and forwarding.
Have at least 2-3 years of experience in the position of Manager or Team Leader of Documents.
Proficient in all procedures and documents for both Export and Import goods.
Skills & Qualities:
Expertise: Extensive knowledge of customs procedures, incoterms, international payment methods and transportation.
Management skills: Ability to manage, coordinate and train staff.
Problem solving skills: Sharp, proactive in predicting and handling complex situations.
Communication & Negotiation Skills: Excellent in communication, persuasion and negotiation with both domestic and international partners.
Sense of responsibility: Careful, meticulous, able to withstand high pressure and have a sense of responsibility in work.
Computer skills: Proficient in office software (Excel, Word) and professional software.
OTHER INFORMATION / REGIME
Probationary period: 2 months.
Probationary salary: 15-20 million
Official salary: 20 million + KPI performance
Official working hours: Monday to Friday, Saturday morning (daytime).
Insurance: Full according to State regulations.
